Position Summary:

We are seeking a highly organized Events Coordinator to plan, execute, and evaluate in-person and virtual events, including industry events, tradeshows, conferences, roadshows, networking dinners, and webinars focused on Supplier Relationship Management (SRM) and our solution, Caidentia. This role involves managing logistics, budgets, and vendor relationships while ensuring events generate high-quality leads.

The ideal candidate will have a marketing background, be detail-oriented, creative, and self-driven, with proven experience in B2B technology events. You will work closely with marketing and sales teams to deliver successful events, nurture leads through the funnel (MQLs to SQLs), and drive engagement and ROI.

Preference for this role is to be based in New Jersey and work on hybrid schedule in our office in Ridgefield Park, NJ.

Responsibilities:

Event Planning and Coordination:

  • Develop detailed event plans, timelines, and schedules to ensure efficient logistics
  • Research, select, and negotiate with vendors, venues, and service providers within budget
  • Oversee logistics, including vendor management, venue selection, catering, AV setups, registrations, and booth design and construction, aligned with deadlines and budgets

Execution and On-Site Management:

  • Plan and execute events, ensuring flawless delivery
  • Manage day-of-event operations, resolving issues promptly
  • Oversee travel, catering, and operational requirements for in-person and virtual events

Collaboration and Alignment:

  • Collaborate with marketing and sales teams to align event strategies with branding, messaging, and lead generation goals, ensuring events capture high-quality leads and support nurturing strategies
  • Work with marketing teams to create on-brand event materials and execute promotional campaigns

Post-Event Analysis and Follow-Up:

  • Conduct post-event surveys and prepare reports on attendee engagement, leads, ROI, and improvement recommendations
  • Track KPIs to assess event success and apply insights to enhance future events
  • Support follow-up activities to nurture leads and assist in the MQL-to-SQL conversion journey

Budget Management and Multi-Project Coordination:

  • Manage event budgets, invoicing, and financial accountability
  • Handle multiple projects simultaneously with structured plans and timelines
  • Bachelor’s degree in Marketing, Communications, or a related field
  • 2+ years of experience in event coordination, ideally in B2B technology
  • Proven experience in planning and executing events, with strong project management skills
  • Exceptional organizational, communication, and negotiation skills
  • Analytical mindset with experience in budget management and performance reporting
  • Highly organized, detail-oriented, and able to work independently
  • Creative mindset for engaging, impactful event experiences
  • Expertise in lead generation and nurturing, with proficiency in managing attendee data and automating follow-up
  • Proficiency with Microsoft Office; knowledge of design tools and marketing platforms

Preferred:

  • Familiarity with SRM platforms or related technologies is a strong advantage
  • Marketing tool certifications (e.g., Eloqua, SAP, Adobe Creative Suite) are a plus
