Capital Formation & Office Coordinator

The Capital Formation & Office Coordinator will be responsible for supporting the capital formation activities out of the New York office in addition to coordinating all physical and administrative aspects of the NY office. The role will dually report into the Capital Formation Managing Director and the U.S. Office Manager. The role is a temporary, two-year program focused on individuals who are interested in gaining unique experience and exposure to the alternative asset management industry while adding value to the day-to-day operations of the firm’s capital formation team and executive administrative teams.
Principal Accountabilities
50% Capital Formation Coordination
Investor Meeting Preparation: Ensure in-office investor meetings are sufficiently prepped including dates coordinated, invitations managed/coordinated, communications established, pitch books and/or other presentation materials sent.
Presentation Preparation: Liaise with marketing team to coordinate appropriate materials for planned capital formation and/or investor activities.
Investor Meeting Support: Participate in capital formation related meetings as a recordkeeper and/or notetaker, gaining exposure to the full lifecycle of capital formation. Track and record notes as determined by capital formation Managing Directors. Interface with the firm’s CRM system.
Investor Conference / Client-Facing Event Preparation: Liaise closely with the marketing and capital formation teams to prepare for and execute the annual investor conference as well as other client-facing events onsite at the AB CarVal NY office and/or in the greater NY area.
Engagement Activities: Idea generate, support and/or coordinate in-office employee events and celebrations as requested by Office Manager and/or Marketing team.
50% Office Coordination / Executive Administration
Reception Management: Manage reception for the NY office including entrance management/security, phone lines, and main entrance intercom during “core” business hours. Ensure professional and welcoming environment for all employees and guests. Maintain office professionalism via conference room management and ongoing trading floor desk management. Managing a professional and neat office environment.
Visitor Concierge / Meetings: Ensure a professional, welcoming, and efficient experience for all office visitors including arranging all meeting logistics, welcoming, and directing visitors, coordinating/receiving deliveries of couriers and catering, coordinating transportation.
Administrative Support: Provide administrative support for AB CarVal NY employees as well as back-up support for the MN Executive Assistant team. Administrative support includes executing requests for electronic/wet signatures, expense reporting, booking/revising travel itineraries, managing passport requests, booking meetings as requested, and ad hoc project-based requests.
Facilities Support: Manage daily/ongoing physical office space including mail delivery, sending/receiving packages, kitchen management, coordinate with building facilities to resolve facilities related issues, stock the snacks/beverages.
Qualifications:
Required
Strong interest in financial services and/or alternative investment management.
3+ years experience working in a result driven, customer service focused environment.
Demonstrated professional customer service and/or financial services experience.
Strong written and verbal communications skills; strong interpersonal skills and positive attitude
Strong organizational skills and proven ability to balance multiple priorities.
Ability to handle demanding and situations under tight time constraints.
Ability to work in a changing, fast-paced working environment.
Experience managing vendors/suppliers to support execution.
Willingness and interest in collaborating and engaging across multiple teams.
Demonstrated ability to work well independently, under minimal supervision.
Willingness to work in the New York office five days a week (this is not a remote or hybrid role).
Preferred
Bachelor’s degree.
Experience in or strong design to work within the financial services or other high touch industry.
Customer service experience within investment management, banking, or professional services firm.
Experience with Concur, Travel One, or other travel and expense systems.
Computer skills in Microsoft Outlook, Word, and Excel
New York Notary.
