Role Overview
As a Proposal Specialist, you will play a vital role in securing new business opportunities by developing compelling, high-quality proposals and marketing materials that align with the firm’s strategic goals and brand standards. This position requires a strategic mindset and the ability to translate technical information and project details into persuasive content, highlighting our firm’s strengths and market expertise. You will manage the end-to-end proposal process, working closely with architects, designers, branding professionals and business development teams, to coordinate resources, refine messaging, and ensure timely and compliant submissions.
This is a dynamic role that involves collaboration, multitasking, attention to detail, and adaptability to shifting priorities. Success in this position requires excellent proposal management, communication, and graphic skills, along with an understanding of the A/E/C industry.
Primary Responsibilities
Proposal and Pursuit Presentations (70%):
- Review complex RFP language to guide and develop proposal outlines and content to ensure compliance.
- Oversee the complete development cycle of proposals and presentations, including coordinating with studio team members, business development, and subconsultants to ensure cohesive messaging and brand alignment.
- Collaborate with studio team members and business development to develop strategic messaging and points of differentiation; weave those messages throughout the proposal content to create a winning package.
- Create a proposal schedule, per project, and manage it throughout to keep process and tasks moving forward.
- Coordinate with the creative service team to develop graphics and other visual elements that support strategic messaging.
- Develop proposal layout that adheres to brand guidelines and provide proofreading and quality control.
- Support studio team members in pre-interview planning and PowerPoint creation, ensuring win strategies are reflected in presentation materials.
Information Systems & Administration (30%):
- Manage and continuously update boilerplate materials and the Digital Asset Management program (OpenAsset) to support proposal foundation and branding consistency.
- Other duties may include working with project managers, marketing management, and office staff to support day-to-day marketing and business development efforts.
- Perform other duties as assigned.
Required Skills and Abilities
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe InDesign required.
- Knowledge of Deltek VP and OpenAsset experience preferred.
- Ability to understand the principles of layout and graphics as they relate to the development of marketing materials.
- Excellent written and verbal communication skills with strong interpersonal skills.
- Excellent time and project management skills; ability to work on multiple assignments simultaneously.
- Passion for details and maintaining a high level of quality assurance and control.
- Ability to effectively coordinate projects by communicating with remote team members.
- Experience in editing/proofreading narrative written by technical professionals.
- The ability to work under rigid time constraints where a narrow margin for errors or delays is allowed.
- Practical experience in facilitating large and small groups in strategy and proposal development.
- Ability to shift priorities and delegate as needed to keep tasks on schedule.
Experience and Education
- Bachelor’s degree in Marketing, Journalism, Communications, or related field required.
- Minimum of 5 years of proposal development experience required.
- Experience in Architecture, Engineering or Construction (A/E/C) field preferred.

The wage range that the Company expects to pay is $29.33/hour - $36.54/hour.
